Outlook is one of Microsoft's most popular email clients. To use your email account on Outlook, you can set it up using either the IMAP or POP3 protocols.
In this guide, we will explain step-by-step how to add your name@domain.com email address, hosted on the domain.com server, to Outlook. We will cover both IMAP and POP3 setup methods in detail.
Outlook Setup with IMAP
IMAP (Internet Message Access Protocol) stores your emails on the server and provides synchronized access across all your devices. After opening Outlook, go to File > Add Account and select the 'Email Account' option.
Enter name@domain.com as your email address. In the advanced settings section, check the 'Manual setup' option. After selecting IMAP, enter mail.domain.com as the incoming server, use port 993, and select SSL/TLS for encryption.
For the outgoing server (SMTP), use mail.domain.com again with port 465 and SSL/TLS encryption. After entering your username (name@domain.com) and password, click the 'Next' button. Outlook will perform an automatic test, and if successful, your account will be ready to use.
Outlook Setup with POP3
POP3 (Post Office Protocol 3) downloads your emails from the server to your computer. Start by going to File > Add Account and enter name@domain.com as the email address.
In the manual setup section, select the 'POP or IMAP' option and choose the POP3 protocol. Set the Incoming Server to mail.domain.com, Port to 995, and select SSL/TLS encryption.
The outgoing server settings are the same as IMAP: mail.domain.com, port 465, and SSL/TLS. Once you enter your username and password and complete the test, the setup is finished. Note that with POP3, emails are typically downloaded to your computer and removed from the server (unless changed in settings).
